Our system is designed to provide access to your data via any computer with an internet browser (Internet Explorer) and a reliable internet connection (DSL speed or higher), thereby removing the costs of a server, tape backup system, security updates, software patches, monitoring, hardware/software updates, physical security of a server facility, and the TECHNICAL SUPPORT STAFF associated with these functions!

Our “ONLINE’ data capture services ensure that the input and updating of information is in REAL TIME and available to all approved users immediately when the “save/update button” is clicked.

Our system features are summarized below:

 

  • Form Management. Your preprinted forms are stored electronically and available from any internet-connected computer by a staff member with the appropriate login credentials. For example, you can prepare a job application form by using the electronic version, print it for signature and filing, or capture an electronic signature for electronic storage. Your forms library is determined by you and the mode and method that you choose to manage them. Some of the forms we currently store are Job Application, Competency Assessment, FORM I-9, Employee Reference Form, Employee Reference Check, Hiring Information, New Hire Packet, New Hire Reporting, W-4, Application Agreement Statement, New Hire Employee File Check List, Physical Examination, Arrest Information Release, Drug Free Workplace Agreement, Substance Abuse Policy, and Drug Test Consent forms. Any form that you use can be store and managed on our system. Using the PDF© features, forms can be emailed to facilitate communication and preparation.
  • Client Information.  You begin the process by capturing pertinent information regarding a new client. In addition to name, address, and other general contact information, we provide you with the ability to capture: (a) Care Plan Information, (b) Independent Living Assessment (per state requirements),           (c) Sliding Fee Worksheet, (d) Service Record, (e) Client Survey, (f) Billing      (g) Special Billing Information, (h) Full Fee Scale, (i) Homemaker Program,       (j) Homemaker Program-Contact Information, (k) Homemaker Services-Sliding Fee Scale (l) Live-In Caregiver Program, (m) Live-In Caregiver Options,            (n) Sliding Scale Fee Policy, (o) Client Deposit Information,  and (p) Notice of Privacy. Of course, we can customize our product to your specific requirements. When you enter this information the prospective client is in the “Intake Mode”; that is, you have the information, but they have not agreed to contract you for the services. Once they have formally agreed to the services and you have validated the required information, you can then convert them to “Active Client Status” and begin scheduling their care with an employee care provider.
  • Employees. All required information normally associated with personnel files of employees is captured at the point of hire. In addition, the following data is maintained to provide up-to-date management of your employees:                        (a) Performance evaluations by date of evaluation, including notes regarding the evaluation process, (b) Next evaluation date (see reporting section) , (c) Current pay rate, (d) New pay rate, (e) New appointment entry for assigning new clients, (f) Current schedule of clients serviced by date and time- scheduled up to one year in advance, (g) Training information as may be required by internal mandates or licensing boards, and (h) Expiration date of licenses and/or retraining dates.
  • Payroll.  Compensation rates are maintained as follows: (a) Basic pay rate,         (b) Overtime pay rate, (c) Shift rate, (d) Skill set variables, (e) Weekend and holiday pay rates, (f) Mileage reimbursement rates, and (g) Equipment fees.
  • Scheduling. Clients are assigned to a care provider employee that is scheduled at the same time and day for up to a year in advance, or for a one time event. You can print a hard copy report for the client and the employee can print a copy of their schedule for planning purposes. When a change is made to the schedule, it is updated in “REAL TIME”, and all future appointments are modified accordingly. Part time employees can block out days/times that they do not work to prevent the assignment of a new appointment. Employee vacations or other absences can be blocked off as well to better manage the appointment schedule.
  • Reports. Client Serviced Report, Missed Service Report, Appointment Rescheduling, Mileage Expense Incurred, Miscellaneous Reimbursements, Gross Billing, Gross Payroll, Loss Revenue Report, Employee Evaluation Due Date, Client Update- Insurance/Billing Information, New Client Report, Lost Client Report, and Aged Receivables by Client. Custom report development is available to serve your specific business model.
  • Invoicing. The invoicing process is based on the Client Intake Data. You can invoice government agencies, insurance companies, and financially responsible third parties per your formal agreements. A separate invoice is printed for each billable entity, in a form acceptable to that entity. A summary report is provided for any invoice date range. Invoices can be reprinted if necessary.
  • Remote Timekeeping. Timekeeping is challenge for any employer that has employees working at multiple remote sites. We can solve this problem if your employees have a web enabled personal or company provided cellular phone. We do not load programs or other data on the cellular phone.  We simply allow them to use a browser to enter their time. The employee presses a key on their cellular phone to select the client they are arriving at or leaving; their electronic time card is updated as travel time or on-site time- all for billing purposes. In addition, if they are engaged in service activities at a client that have different billing rates, they can clock out of one and clock in for the other, with the electronic time clock up dated accordingly, in REAL TIME! Mileage data can also be entered to facilitate reimbursement calculations. Employees can also clock in and out for lunch or other non-compensated times. Security is not a concern as the cellular device is void of sensitive information. Incoming and outgoing calls can be made without affecting the time card functions. Time card information is updated to the client file for invoicing/billing and the payroll system for processing- in REAL TIME!Statistical and comparative reports are available based on date ranges or other selectable criteria.
  • NAG MAIL©This is one of our most appreciated services as it advises management of events not performed or if an exception occurs for a specific event- in REAL TIME! For instance, if an employee has not reported to a client within a set number of minutes after the appointment time, the management staff that you designate receives a NAG MAIL© via a text message and/or an email, or both. This provides you an opportunity to take corrective action before the exception becomes a crisis. NAG MAIL© can be used for virtually any purpose for which data is maintained, allowing a comparison of required performance to actual, with a variant that will trigger the notification(s).
